Getting started
Access, setup, plans, and moving an existing practice.
It is built for independent career coaches who want their practice operations and each client's career work to stay connected. Coaches remain independent providers, not HiringCoachAI employees.
Use the Request access form on the coach overview. HiringCoachAI reviews coach applications. If approved, sign in with the same email, review the Coach Platform Agreement, and complete the guided setup steps shown in your workspace.
The Get Started checklist walks through the required agreement and the most useful first steps, including practice branding and calendar setup. You can then invite a client or add an existing practice roster.
Yes. The practice importer accepts a reviewable CSV of up to 200 clients at a time. You confirm the column mapping and selected rows before anything is imported. Familiar custom fields can become searchable CRM columns.
- Existing CRM matches are updated without sending another invitation.
- New selected clients use the standard invitation and acceptance flow.
- Recognized credential, payment-secret, and government-identifier columns are blocked.
Plans and billing
The coach subscription, cancellation, client access, and payment fees.
The published Coach plan is $99 month to month, or $999 billed once a year ($83.25 per month on average). It is for one coach and includes unlimited clients. Confirm the current checkout terms before subscribing because prices can change.
Yes. You can cancel from Coach billing. The plan stays active until the end of the paid period; there is no refund or partial refund on the cancellation date. Any already-scheduled plan change is also canceled.
When paid plan access ends, active client relationships enter a seven-day grace period. Unless the coach reactivates the plan, those active relationships then end. Canceling a future renewal does not end access before the paid period finishes.
The coach subscription unlocks client invitations. HiringCoachAI does not add a separate workspace-access charge to the client for accepting one. A client may still owe the independent coach for coaching services under their agreement and may choose unrelated paid HiringCoachAI services separately.
The Coach subscription pays for your platform access. Client Payments is a separate, gated workflow for collecting coaching fees. The currently documented HiringCoachAI platform fee is 0% unless a different account-specific rate is disclosed; Stripe's processing fee is a separate coach expense.
The currently published Coach plan is for one coach. Do not share sign-in credentials between coaches. If you need a multi-coach or firm workflow, contact HiringCoachAI to confirm what is supported before moving your practice.

A connected client gets a private coaching home tied to that coach-client relationship. Depending on the work you use together, it can include plans, assignments, goals, sessions, shared materials, feedback, messages, agreements, scheduling, and payment history.
Clients is a searchable address book for active, invited, former, and prospect relationships. Coaches can choose columns, create custom filters, inspect next steps, and open the full relationship workspace for one client.
Start an invitation from the coach workspace using the client's email address. The client accepts into their own HiringCoachAI account. Access is not granted simply because someone knows a client name or email.
No. Coach access is tied to a specific relationship record. Server checks reject requests from people who are not the coach or client on that relationship.
Yes. Client controls cover six categories: the coaching workspace, applications, career profile, networking, interview preparation, and writing. During scoped acceptance, the core workspace starts on. After acceptance, the client can change any of the six categories, including workspace access.
You can send a permission request naming the categories you need. The client can approve all, approve some, or decline. HiringCoachAI does not silently turn access on.
The relationship can move out of the active roster and shared history may become read-only. Ending the relationship is different from deleting notes, revoking material shares, or deleting an account. The close-out controls make those choices explicit.

Coaches can create reusable assignment templates or assign work directly to a client. Client assignments arrive in the client's task workflow, and completion or response activity returns to the relationship workspace.
Yes, when the client has shared the relevant content category. Coaches can open supported career artifacts, leave structured feedback, and track review requests without asking the client to email a separate copy.

HiringCoachAI uses the limited per-file Drive permission and creates one marked HiringCoachAI folder. It does not receive access to the rest of the coach's Drive. Native HiringCoachAI documents stay internal unless the user explicitly exports them.
Yes. The Courses area supports structured learning content and downloads that coaches can use alongside assignments and materials. Availability can depend on the current coach release and account configuration.

Yes. The coach inbox groups relationship messages, drafts, scheduled items, labels, and messaging preferences so client communication does not have to live across unrelated tools.
Chat is for relationship conversation. Comments are attached to supported documents or coaching artifacts, so feedback stays next to the work it discusses. Access still depends on the relationship and the content's sharing rules.
Ordinary product access to coach-private context is coach-only and server-authorized. Limited administrative access can still occur under published support, security, and legal policies. The shared log is designed for both participants, while private notes are excluded from the client's account export.
The workspace can surface overdue work. Automated homework nudges are available only when the controlled production feature is enabled and configured. Coaches remain responsible for deciding whether a reminder is appropriate and honoring each client's communication preferences.
No. Private messages, chats, and comments are not routinely sent to an external AI moderation service. Authorized people or service providers may review content after a report or for support, security, fraud, legal, or policy needs.
Yes. When a coach starts Session AI, the request can include session content and private coach notes so the model can draft the requested output. A transcript is included only when the coach confirms client consent. This does not make the notes visible to the client.
Calendar and scheduling

Yes. Coaches can create booking links with availability and appointment settings. Clients choose from allowed times, and supported confirmation flows provide calendar actions for the client.
The Calendar has day, week, month, year, schedule, and four-day views. Coaches can create events, make repeating events stop after a set date or number of meetings, search the calendars they are allowed to see, control sharing, and import or export standard calendar files (ICS).
A coach can connect one Google account, select readable calendars that block availability, and choose a writable destination calendar for confirmed appointments. Client invitations are optional and off by default.
Google is the calendar connection turned on by default. Outlook and a private calendar feed that works with Apple Calendar (ICS) appear only when HiringCoachAI has enabled them and the account is configured. The workspace shows the options actually available to you.
Zoom connection and booking flows can attach meeting details after the coach authorizes the integration, but Zoom is available only when its release flag and provider credentials are enabled. Scheduling setup shows connection health and permission gates.
Calendar items render in the coach's configured display time zone while retaining the original event time zone when it differs. Booking confirmations and calendar links carry the appointment time for the participant's calendar.
Contracts and payments
Offers, agreements, checkout, payouts, refunds, and records.
The independent coach is the provider and seller of the coaching service. HiringCoachAI supplies the software and supported payment infrastructure. HiringCoachAI is not a party to the coaching service agreement between coach and client.
HiringCoachAI-collected agreements and payments appear only when the service is turned on for the account, the coach is approved, Stripe is ready, and the location is supported. In that flow, the client signs first and the coach signs next. An important change requires a new agreement.
When offers and payments are turned on for an eligible account, a coach can describe a service, set the price, and guide an eligible buyer through the public start, agreement, onboarding, and payment steps. Stripe readiness and location rules still apply.
No. Stripe handles card capture. HiringCoachAI receives billing identifiers, status, and transaction records needed to operate the workflow, not full card numbers or CVVs.
Stripe collects those details in Stripe-hosted onboarding. HiringCoachAI does not handle the coach's Social Security number, identity documents, or bank credentials in that flow.
Yes. Supported offline payment records document money collected elsewhere without creating a card charge. They are self-reported records and do not turn HiringCoachAI into the payment processor for that transaction.
The dedicated payments help center explains payment workflows and their release, approval, jurisdiction, and Stripe-readiness gates, along with agreements, fees, refunds, disputes, payout records, taxes, and client views.
No. Client payments and live money movement are disabled unless the production release gates are enabled. Availability also depends on provider account, client location, supported jurisdiction, coach approval, and Stripe readiness. Unsupported combinations are blocked.
Practice, profile, and reporting

Yes. Eligible coaches can manage a public profile with coach-controlled practice information and supported profile media. Public visibility and directory eligibility follow the current coach profile rules.
The public directory is user-filtered and currently orders eligible profiles alphabetically. It does not use coach payments, platform fees, paid placement, testimonial sentiment, ratings, or review volume to determine order.
An active eligible coach plan unlocks a custom client-facing practice name and logo. HiringCoachAI remains the fallback when branding is not set or coach billing is inactive. Saved branding is not deleted just because billing becomes inactive.
Supported review-request and coach-profile workflows let coaches request and manage appropriate client feedback. Public display follows the profile and moderation rules rather than automatically publishing every private coaching comment.
Reporting surfaces cover supported practice activity, client progress, revenue records, and practice-summary views. The figures are operational aids. Coaches remain responsible for their own accounting, tax, credential, and professional records.
My Account contains coach account and plan controls. Payment-client settings, payout readiness, and practice configuration live in their relevant workspace sections so changes stay close to the records they affect.
AI assistance
What AI does, what it receives, and where human judgment remains essential.
AI can help organize authorized context, draft or summarize supported materials, and prepare job-search or session insights. It is an assistant. The coach decides what is relevant, checks the output, and remains responsible for professional judgment and client communication.
Client content goes to an AI provider only when someone uses a feature that needs it. The AI disclosure lists those features and providers. HiringCoachAI asks providers not to store a request where that control is available, but does not promise that providers keep nothing.
HiringCoachAI uses its providers' business APIs. Their standard terms say API data is not used to train models by default. HiringCoachAI does not have special zero-retention agreements, so a provider may keep a request for a limited time to detect abuse under its standard terms.
The AI audit layer records operational metadata such as provider, model, feature, timing, token counts when available, and outcome. It is designed not to store the raw prompt or completion in that audit record.
No. AI can be incomplete or wrong. Coaches and clients should review generated work, verify important facts, and avoid treating AI output as legal, financial, medical, credentialing, or employment advice.
Data safety and privacy

The client and the coach connected to that specific relationship can access the shared workspace within their roles and permissions. Authorized HiringCoachAI personnel or providers may access limited data when needed for support, security, fraud, legal, or policy work.

No. Coach-private notes and private context are separated from shared records and are intentionally excluded from the client's account export. The coach can use the relationship close-out export before choosing a retention action.
Yes. HTTPS protects data while it moves between the browser and HiringCoachAI. Google Cloud encrypts stored data, and selected sensitive fields receive another layer of encryption before storage. HiringCoachAI does not describe the service as end-to-end encrypted.
Most coach records are handled through authenticated server APIs. Firestore rules deny anything not explicitly allowed, and relationship checks verify the signed-in participant and allowed status before returning protected data.
HiringCoachAI's published privacy notice says it does not sell personal data. Data can still go to documented service providers, a destination the user chooses, another user or public audience the user explicitly shares with, or a legally authorized recipient.
A signed-in user can download a broad snapshot of their account data. Passwords and similar secrets are removed, and the user may need to sign in again or complete a second security check. Some restricted legal or signed-out transaction records require an identity-verified request to [email protected].
HiringCoachAI uses email sign-in links or selected sign-in providers. A second security check through an authenticator app is available when the Account Security screen shows that it is enabled.
HiringCoachAI is based in the United States and stores data in the US by default. Connected providers may process data under their own documented locations and transfer safeguards.
Yes. Self-service deletion requires recent reauthentication and typed confirmation. It removes the account from active product systems, while limited billing, audit, contract, legal, and backup-window records may remain under the published retention policy.
Yes. At relationship close-out, a coach can export first, delete qualitative records immediately, schedule deletion from one to 36 months out, or keep them. That control covers private notes, private session notes, context, and the shared log, not contracts, payments, engagements, or shared materials.
No. HiringCoachAI does not currently claim its own SOC 2 attestation or a recent independent penetration test. Some infrastructure providers have their own attestations. Those vendor controls do not make HiringCoachAI itself SOC 2 certified.
No. HiringCoachAI is a career-coaching and job-search service, not a HIPAA service. Protected health information is outside the supported scope and is prohibited by the Terms.
HiringCoachAI follows a documented process to investigate, contain affected access or services where possible, address the cause, restore service, and monitor for recurrence. Notifications are made when required by law or contract. Major service updates can appear on the status page, and a public-safe summary may be added to the Trust Center when appropriate.
